Official Media Coverage Policy

Effective Date: October 1st 2025
Partnership: Valley Heat League × FANTAM Sports
 
🎥 Overview
FANTAM Sports is the official and exclusive media partner of the Valley Heat League (VHL).
Through this partnership, FANTAM provides professional photography and videography services at all Valley Heat League events.
All media activity conducted at league events is governed by this policy.
 
🔒 Exclusive Rights

  • FANTAM Sports and its authorized staff are the only parties permitted to capture, sell, or distribute commercial photo or video content at Valley Heat League events.
     

  • This exclusivity applies to all courts, sidelines, warm-up areas, and event facilities.
     

  • Unauthorized commercial photography or videography is strictly prohibited.
     

 
📰 General Event Coverage & Galleries
FANTAM Sports provides general highlight coverage at every Valley Heat League event.
This includes league-wide photography, social media highlights, and recap videos that showcase athletes, teams, and the overall event atmosphere.
Even if a team or athlete has not prebooked coverage, they may still appear in general highlight photos or videos captured during the event.
After each event:

  • 📢 Gallery links are announced via @fantamsports on Instagram.
     

  • 📸 Parents and teams can view and purchase photos directly from official FANTAM Sports galleries.
     

  • 💾 All gallery sales are managed solely by FANTAM Sports.
     

General coverage may also be used for Valley Heat League promotions, social media posts, and advertising materials.
 
🎯 Team-Specific & Individual Coverage
Teams and athletes seeking custom or guaranteed coverage — such as personalized photo sets, highlight reels, or team recap videos — can reserve sessions directly with FANTAM Sports.
You can:

  1. Pre-book coverage online before the event, or
     

  2. Book on-site at the FANTAM Sports Media Table (when available).
     

All paid sessions include professional editing, prioritized delivery, and full usage rights for the purchasing team or athlete.
 
📸 Team & Parent Photographers
We recognize that clubs and families may want to capture memories of their teams and athletes.

  • Personal Use: Parents and team staff are welcome to take casual photos or short clips for personal, non-commercial use.
     

  • Team Photographer Access: Teams may request a limited Team Photographer Credential through FANTAM Sports.
     

    • Team photographers must be affiliated with a specific club or team and may only capture content featuring that group.
       

    • During the application process, photographers will be asked to provide their team name and club director’s contact information for quick verification.
       

    • Freelancers or unaffiliated photographers offering coverage across multiple teams or athletes must apply as Independent Photographers under the appropriate category.
       

This light verification ensures fairness and protects the exclusive media rights of the Valley Heat League and FANTAM Sports, while keeping the process easy and accessible for genuine team representatives.
 
💰 External Photographer Access
Approved external photographers may apply for credentials through the official External Photographer Request Form.

🪪 Credentialing
Approved photographers will receive a “Valley Heat Media Credential” issued by FANTAM Sports.

  • Credentials must remain visible at all times.

  • Photographers must stay within designated media zones.

  • Credentials are valid only for the event and date(s) listed on the pass.

  • Each credential will list the photographer’s name, team/club (if applicable), and event name for easy identification.

 
⚙️ How to Apply

  1. Complete the [External Photographer Request Form] (insert link or QR code).

  2. FANTAM Sports will review and approve or deny the request.

  3. If approved, pay the access fee and pick up your credential at the event check-in table.

Note: Applications are reviewed on a per-event basis. Season-long credentials are reserved for official FANTAM Sports staff or approved league media partners.
 
📤 Content Use & Credit

  • Media captured under this policy may not be sold, shared, or distributed outside of authorized FANTAM Sports an Valley Heat League channels.

  • Approved team photographers may only photograph their own team(s).

  • When posting content publicly, please include credit:
    “Captured under the Valley Heat League Media Policy in collaboration with FANTAM Sports.”

 
🚫 Violations
Unauthorized photography, resale, or misrepresentation (such as claiming to represent a team or club without permission) may result in:

  • Immediate removal from the event,

  • Revocation of current and future credentials, and

  • Permanent disqualification from Valley Heat League events.
